Lease Renewal Reminders: A Simple System So You Never Miss a Deadline

You are reviewing deposits one afternoon when you notice a lease ended two weeks ago. The tenant is happy to stay, but you have not discussed new terms, a rent adjustment, or whether the agreement rolled into month-to-month status. Now you are scrambling to find the original lease, check the notice language, and decide what to send. The deadline did not disappear; it was buried in a calendar, spreadsheet, or the back of your mind.

For small landlords, lease renewals are easy to postpone because nothing appears urgent until the date is close. But a missed renewal window can limit your options, make a rent change harder to time, or leave a good unit without a clear plan. The fix is not a more complicated calendar. It is a repeatable system that brings each lease into view early enough to make a thoughtful decision.

Start with one reliable lease record

Every active lease should have one record with the property and unit, tenant names, lease start and end dates, current rent, deposit, notice requirements, and a copy of the signed agreement. Store the document with the key dates instead of keeping dates in a calendar and the lease in an email attachment.

The exact notice rules depend on the lease and local law. A renewal offer, non-renewal notice, and rent-change notice may have different timing requirements. Read the agreement you signed and check applicable rules before sending a notice. A reminder system helps you act on time; it does not replace legal advice.

Use a 90/60/30-day renewal rhythm

Work backward from every lease end date and use three checkpoints:

  • About 90 days before expiration: review payment and maintenance history, the unit condition, current market rents, and whether you want to offer renewal. Confirm the notice period needed for any term change.
  • About 60 days before expiration: contact the tenant. Ask whether they expect to renew and explain when you need a decision. Prepare any proposed term, rent, or other change in writing.
  • About 30 days before expiration: follow up and finalize. Get the signed renewal before the current lease ends, or start the turnover plan if the tenant is leaving.

Your exact timeline may be different. Choose reminders that are earlier than the minimum notice window, so you have room for questions, follow-up, and changing plans.

Keep decisions and documents together

A calendar reminder can tell you that a lease expires. It cannot tell you whether the tenant responded, whether a new lease was sent, or which version was signed. Give each renewal a small visible checklist:

  • Review lease terms and notice requirements.
  • Decide whether to renew and whether terms will change.
  • Send the renewal offer or notice in writing.
  • Record the tenant response and follow-up date.
  • Save the signed renewal or move-out communications.
  • Update the new lease end date immediately.

This prevents the common “I thought I sent that” problem and creates a useful history if you need to confirm which terms were accepted.

Plan for vacancy before the answer arrives

Waiting until a lease nearly expires leaves little time to market the unit if the tenant is moving. An early conversation gives you information even when the answer is not final. A tenant who is uncertain can give you a decision date; a tenant who plans to leave lets you schedule the next steps sooner.

Renewal tracking is not administrative cleanup. It is a revenue and service workflow. Clear communication can help retain good tenants, while early notice gives you more control over a vacancy and turnover.

Make the system automatic, not memorable

Set all three reminders when you sign a new lease, not when you happen to remember it later. Review your upcoming 90-day expirations monthly. When a renewal is complete, update the lease record and create the next set of reminders before closing the task.
